The Details
YARR! Ahoy mateys! Join us in Melbourne, Australia's leafy suburbs for a weekend of socialising and piratey fun! A group of Puzzle Pirates players & their friends will meet at the Tudor Motel in Box Hill (Melbourne) Victoria for a weekend of carousing and gaming 14-16 August 2009 (Fri afternoon to Sunday afternoon).
Children will not be catered for at this event, but may attend with parental supervision.
A special thanks to those people that filled in our survey - your responses have helped to shape the event.
Location
The 4 ½ star-rated Tudor Motel, 20 minutes from Melbourne CBD, supplies a wide range of comfortable accommodation and has ample car parking on site. All rooms have FOXTEL, and there is an indoor heated pool, sauna, spa and gym.
Guests that wish to arrange share accommodation in one of the motel’s neighbouring self-contained apartments can contact the organisers mailto:melbmeetup09@yahoo.com.au to arrange pairing up with other like-minded attendees.
Attendees will arrange and book their own accommodation for Friday and Saturday night through the motel quoting “Puzzle Pirates Conference”.
We will be using the following facilities at the Tudor Motel:
- Conference room for the full day Saturday 15 August, set up with electronic whiteboard, internet connections & wired/wireless networking, informal areas, and tables/chairs for conversation and tutorials.
- Swimming pool for Treasure Drop competitions.
- Organiser will book an executive suite (with lounge room) to facilitate after-hours poker games and an area for general socialising during the day.
- Saturday tea/coffee in morning & afternoon served in conference room.
- Saturday cut lunch served in conference room.
- Saturday evening 3-course meal in a private room attached to the motel restaurant – fancy dress party dinner (soft drink included, bar drinks at own cost).
- Late check-out from motel 12pm Sunday - we will move on to a BBQ at a private residence located very close to the motel.
All attendees of this event are expected to act responsibly at all times.
With regard to alcohol, motel guests may bring their own alcohol for in room use and all attendees are welcome to make use of the motel bar (bar opening hours are 12 noon to 12 midnight).
With regard to technology, the conference room has a single broadband internet access point and a router (Netgear WGR614v9) will be set up to cater guests’ PCs for in-game activities during Saturday. This will cater 4 wired and approximately 15 wireless connections (10/100 Mbps, WPA-PSK encrypted).
Some PCs will be supplied by the organisers for shared attendee use.
All guest rooms in the motel have a single internet connection. Internet connection in room will be supplied at no additional cost for the 24-hour period between 10AM Saturday and 10AM Sunday (as this is covered through shared costs).
Cost
Indicative costs are categorised by “Own costs” and “Shared costs”. All costs quoted are in Australian dollars ($A).
Own costs
Accommodation – discounted at the Tudor motel (03 9898 9581) to the following rates by quoting “Puzzle Pirates Conference”
- Standard Room is $130.00 per night discounted from $165.00 per night
- Twin Room is $150.00 per night discounted from $191.00 per night
- 2 Bedroom Apartment is $185.00 per night discounted from $225.00 per night
- Executive Spa $165.00 per night discounted from $195.00 per night
- To include breakfast, add $20.00 per person per day, discounted from $26.00 per person per day.
Other "own costs":
- Transport to the event - however, airport pick-up or carpooling may be able to be arranged through organisers mailto:Melbmeetup09@yahoo.com.au
- Alcoholic beverages
- Any motel extras
Shared Costs
“Shared costs” are dependent on the number of people attending and will include:
- Saturday morning tea, cut lunch, afternoon tea and 3-course dinner
- Sunday BBQ
- Conference room hire and internet access
- Prizes
With 20 people attending, shared costs are approximately $132.50 per person. With 40 people attending, shared costs are approximately $121.50 per person.
Shared costs will not be separated into components for individuals that only partially participate in the event.
To ensure that organisers are not out-of-pocket, attendees must pay 50% of their shared costs by 6 July 2009, with the balance due no later than Friday 7 August 2009.
Any residual shared cost funds will be refunded to attendees at the conclusion of the event.
Payment
PayPal, credit card or EFT bank account details will be provided at a later date for collection of shared costs.

- Any prescription or generic medication you might require

Registration
Everyone who wants to is invited to attend as are husbands, wives, and significant others. If you are bringing a guest who does not play Puzzle Pirates, please list your name first, a comma, then their name right after so we know you are together. If you would like to reserve a spot for the meetup, please follow the following instructions As soon as possible and well before 29 June 2009:

- Step 2 - Follow this link.
- Step 3 - Paste text template at the end of the list for your appropriate ocean. Replace PIRATENAME with your main pirate's name, FORUM USER NAME with the user name you have on the YPP forums, and enter either yes or no (lower case letters) for 21 and over. (Age doesn't really matter, as long as you are 18 or older. I'm just curious.)
- Step 4 - Save the changes. You are now registered for the Melbourne Meetup 2009.
- Step 5 - Organisers will PM/e-mail you with "how to pay" information for shared costs closer to the date.
- Step 6 - Make accommodation and travel arrangements ASAP. If staying at the Tudor, book your room - for check-in 14-Aug-2009, check out 16-Aug-2009 (03 9898 9581) and remember to quote “Puzzle Pirates Conference”.
- Step 7 - Spread the word - contact your Aussie hearties and crewbies and let them know what we're doing!
