Event template

✅ Remember to plan ahead: give yourself enough time to discuss your event and allow participants to notice and join.

To request OM assistance for your event, email us at events@puzzlepirates.com at least 4 weeks before your planned posting date (typically 8 weeks before your event is scheduled). Expect a longer timescale for a thorough discussion on complex events or those involving valuable prizes.

If you have been approved to receive OM assistance, make sure your event is posted in YPPedia with a summary in the Events Discord linked to it at least two weeks before the event date or closing date for creative/ongoing contests.

  • Discord is, of course, optional, but we do recommend posting there too to give your event more visibility.

➡️Feel free to continue hosting and running your own events under the regular rules and restrictions. OM assistance is reserved for event proposals following this specific application process.

➡️ If you are new to running events or are considering running events for the first time, please see the Advice for new events runners page.

➡️ If you have a general query or a simple question rather than a full event proposal, skip the template and use the events@puzzlepirates.com email address anytime! We're here to help.

Please note that these guidelines are subject to change without notice.

Email Tips

  • Read the guidelines. Before emailing, familiarize yourself with the Event guidelines and policies.
  • Meaningful subject. Include a relevant subject, like the name of your event, to prevent your email from being flagged as spam.
  • No Attachments. Include all necessary information in the body of the email; attachments will remain unopened.
  • Auto-Response. Note that there's no auto-response for Events emails. If you haven't received a reply within 2-3 business days, please send a petition to confirm receipt.
  • Reply to emails. Instead of composing a new email, reply to ours. That helps keep all information related to your event in one place.
  • One email per event. If you're planning on hosting a series of events, please keep them separate to prevent confusion.

Event Template Guide

  • Pirate Name and Ocean. The name and ocean of the pirate organizing the event.
  • Name of Event. The title of your event.
  • Brief Description. Provide a short and clear one-paragraph summary of your event.
  • Venue. The event's location. For example Discord, a specific ocean, global, a house, a ship, etc.
  • Player entry. Describe any restrictions for a player to enter, such as entry fees, the maximum number of players, or skill requirements.
  • Expected Participation. The number of participants you guesstimate, including details on teams, crews, or flags, if applicable.
  • Expected Start Time. The planned date and time for the event to begin or any assistance required with event preparation.
  • Planned Duration. The overall duration of the event, specifying the length (e.g., 2 hours, 3 weeks) and the time required for each session if applicable.
  • Judging Duration. The estimated time for judging and any additional time needed for post-event cleanup.
  • Event Proposal. A comprehensive but concise event proposal covering rules, sign-up guidelines, specific judging criteria, and prize breakdown.
  • Expected Player Assistance. If applicable, details on the assistance expected from other players, including prizes, personnel, or other support.
  • Possible Foreseen Problems. Any potential issues that might arise during your event, and if you have developed plans to address them.
  • Similar Events. Links or mentions of past events similar to yours, whether organized by you or others, if you have them.
  • Other Events Run. Include links to any events you've organized and details about the support you received from your crew, flag, or hearties, if applicable. That helps us assess the likelihood of your event being successfully run. A strong track record in events boosts our confidence in supporting your event.
  • Desired OM Support. Describe what type of assistance you seek, such as:
    • OM Assistance: For instance, broadcasts, news posts, prize delivery, etc.
    • OM Prizes: Include a list of desired prizes, including familiars, pets, Palace Shoppe trinkets, inscribable special trinkets, ship renames, or other items.
    • When requesting prizes, remember that we are more likely to help with prizes for events where the event organizer already provides most prizes. For example, we are much more likely to agree to rename a prize ship you are providing than to provide the ship ourselves.
    • We prefer prizes that are easy to hand over to the event planners, such as trinkets, clothing, mugs, bludgeons, swords, and ship renames (given an existing ship!).
    • Please note that we will not give out items in LE colors.
